Sales Coordinator
The Sales Coordinator will bring a strong background in client-focused hospitality, with experience supporting upscale gatherings and managing multiple projects simultaneously.
This role includes attending industry and networking events to build relationships and identify new opportunities. Once prospective clients are engaged, the sales Coordinator guides them through the planning process, including site visits, product or service tastings, and key planning meetings. The position collaborates closely with internal operations and service teams to ensure seamless execution and memorable client experiences.
Responsibilities:
- Cultivate and secure new clients for private functions and events
- Develop and maintain strong client relationships through proactive outreach, personalized follow-ups, sales calls, and consistent communication
- Create customized proposals, sample menus and event packages based on client needs; manage contracts, event orders, invoices, and distributing floor plans and necessary materials to designated teams in a timely and accurate manner
- Partner closely with operations and service teams to ensure flawless communication of event details, including updates, special requests, and last-minute changes
- Attend all booked events to greet clients, and serve as the client's point of contact during events, providing warm introductions to the event lead and ensuring seamless execution until event completion
- Manage billing processes and ensure accurate event close-out in the event management system
- Attend and represent the organization at professional networking and industry events to build visibility and generate business opportunities
- Conduct community outreach and engagement to promote the venue as a premier destination for events
Requirements:
- Certification or degree in Hospitality, Marketing or related field is required
- Proven experience with prospecting, selling, and client negotiations
- Excellent customer service skills, ability to multitask, lead by example, and support teams in a dynamic environment
- Exceptional organizational and time management skills, adaptable to change in a fast-paced environment
- Proficiency with standard business software and event management systems
- Creative vision for designing upscale events, paired with excellent planning and execution skills
- Experience in high volume catering, employee/staff training, labor management and control systems
- Proven experience in designing customized event experiences, including menu development, with a background in upscale event services such as catering, fine dining, and banquet management
- Will be required to work holidays, nights and weekends
- Experience with Delphi a plus
Physical Requirements:
- Standing and walking 90% of the time. Position routinely requires the ability to lift up to 40+ pounds.
