Sales Operations Support

Responsible for supporting the sales manager with general sales operations activities.

Essential duties and responsibilities include:

  • Providing administrative support of sales in coordination with operations, services, procurement, and finance
  • Assisting with process improvement messaging and management
  • Supporting sales communications and planning, including assisting with content and distribution
  • Assisting with market data research as needed
  • Coordinating with training to ensure new hire training
  • Assisting SVP with special projects and assignments by executive leadership
  • Coordinating meeting schedules between sales leadership and SVP of sales as well as customers
  • Assisting sales leadership with strategic initiatives
  • Assisting in coordinating and planning events for all sales meetings
  • Ensuring seller compensation plans, commissions, and bonus tracking are in place
  • Distributing sales and reporting metrics including:
    • FP&A and sales ops reports
    • LORP tracking and RFP response data
    • Service renewals
    • State contract quarterly reports
  • Answering/routing incoming phone calls
  • Processing and distributing incoming/outgoing mail
  • Assisting account managers with sales paperwork including proposals and bids
  • Registering new vendors, setting up jobs and submissions
  • Researching and contacting vendors for part numbers, pricing, and compatibility
  • Providing various administrative support including:
    • Tracking shipments
    • Submitting RMAs
    • Compiling equipment lists for service renewals
    • Requesting certificates of insurance/bonds
    • Compiling proposal logs

Other duties assigned as needed.

Skills and abilities include:

  • Ability to balance multiple tasks with changing priorities
  • Ability to work and think independently and ensuring to meet deadlines
  • Demonstrated ability to maintain strict confidentiality and handle sensitive matters with discretion
  • Excellent attention to detail
  • Must have clear and professional communication skills (written and oral) both internally and externally
  • Effective communication and interaction with employees, clients, and colleagues and the ability to work effectively with all levels of the organization
  • Demonstrated customer service focus and client communication skills
  • Ability to handle sensitive and confidential information

Education and/or experience:

  • Minimum of a high school diploma or equivalent
  • Minimum 2-4 years of experience with office administrative functions preferred
  • Intermediate proficiency with demonstrated experience utilizing office suite (Word, Excel, PowerPoint)
