The role: As the Sales Coordinator (Transient), your primary role is to perform general office duties to support Transient Sales initiatives with both Luxury VIP Consortia and Corporate Negotiated Accounts. The Sales Coordinator (Transient) will assist Directors with administrative duties including, but not limited to, processing leads, customer interactions including travel agency and corporate negotiated account management, follow-up, and processing reports. Furthermore, they will communicate to other departments as directed by Managers and assist with any other administrative tasks in order to successfully execute an event from beginning to end. The ideal candidate will demonstrate strong customer service skills, initiative, time management, and ability to meet deadlines.

Responsibilities (Include but are not limited to):

  • Learn and manage digital sales systems (e.g. Reserve, Envision, Opera, Open Table, CVENT Transient) and understand the hotel's sales strategies (e.g. rates, fees, budgeted goals, etc.).
  • Assist in selling the hotel as a whole as directed by the Sales Managers.
  • Provide high-level administrative support by conducting research, preparing statistical reports, and collecting and processing sensitive data.
  • Answer telephone and email inquiries in an efficient pleasant manner.
  • Own the booking process from quotes, reserving, confirmation, collecting pre-arrival information and setting the operations team up for success prior to guest arrival.
  • Takes initiative on projects and improving processes under the supervision of managers and directors.
  • Consortia platform website updates and management.
  • Input RFP's on behalf of Director of Luxury Sales into CVENT Transient during RFP season.
  • Meets with clients in the absence of the Sales Managers to effectively and professionally convey details of the sale to the client.
  • Manage & maintain sales executives and managers schedules, appointments and travel arrangements.
  • Assist Director of Luxury Sales with travel agent communication and management, daily reporting, guest amenities and communication as needed.
  • Serve as a professional liaison between all departments of the Hotel.
  • Support General Manager with various administrative tasks including but not limited to compiling reports, digital presentations, maintaining office supplies, scheduling, etc.
  • Maintain confidentiality of proprietary information pertaining to guests and coworkers.
  • Acts as a Park Hyatt brand ambassador in all connections and communication.
  • Any other tasks as assigned by Director of Sales, Marketing & Events, Director of Luxury Sales and/or General Manager.

Wage Information: The starting hourly rate for this position is $27.75. This reflects the competitive compensation expected at Park Hyatt Chicago. Actual pay will be commensurate with experience. This position is also eligible to earn overtime and premium pay under certain circumstances.

Qualifications:

  • Experience: Administrative, reservations and/or sales experience.
  • Teamwork: Collaboration with the sales team and other departments is common. Being able to work well in a team is an important quality. This is a priority for this position.
  • Organizational Skills: Strong organizational skills are essential for managing and prioritizing tasks, handling paperwork, and maintaining order in a fast-paced sales environment.
  • Communication Skills: Effective communication skills, both written and verbal, are crucial for interacting with clients, sales teams, and other stakeholders.
  • Customer Service: This position often deals with customer inquiries and concerns. Customer service skills are important for aiding and maintaining positive relationships.
  • Computer Proficiency: Proficiency in office software such as Microsoft Office (Word, Excel, PowerPoint) and familiarity with Canva is a plus.
  • Attention to Detail: This position needs to be detail-oriented to ensure accurate record-keeping, data entry, and processing of sales-related documents.
  • Multitasking Abilities: The ability to handle multiple tasks simultaneously is valuable in a sales administration role where there may be various responsibilities to manage.
  • Adaptability: The sales environment can be dynamic, and priorities may change. Being adaptable and flexible is beneficial in handling evolving tasks and challenges.
  • Flexible Schedule: Some nights, weekends, and Holidays may be required as requested by your leadership team.
