Specialist, Sales Support - Bilingual

We are seeking a proactive and highly organized Team Admin Assistant to support our efforts in delivering the 360 and Cisco Partner Incentive programs in FY26. This role is critical to ensuring smooth operations, timely communications, and effective coordination across stakeholders, including Directors and VPs.

Key Responsibilities:

  • Meeting Coordination:
    • Schedule and set up meetings across time zones.
    • Take detailed meeting notes and distribute them promptly.
    • Track and share action items with the Project Manager for integration into project plans.
  • Communication & Follow-ups:
    • Manage comms trafficking: identify approvers, track approvals, and follow up as needed.
    • Chase agenda topics and ensure timely contributions from team members and adjacent stakeholders.
    • Maintain a clear communication flow between internal and external teams.
  • Operational Support:
    • Identify bottlenecks and propose solutions to remove them.
    • Monitor progress on key deliverables and escalate delays appropriately.
    • Support documentation and information gathering, including contact identification and outreach.
  • Stakeholder Engagement:
    • Engage with senior stakeholders (Directors/VPs) with nuance and professionalism.
    • Challenge constructively and share improvement ideas at the right time.
    • Demonstrate curiosity and initiative in learning about the business and project context.

Ideal Candidate Profile:

  • A self-starter with strong organizational and communication skills.
  • Comfortable working in a fast-paced, dynamic environment.
  • Able to manage multiple priorities and stakeholders with tact and persistence.
  • Fluent in English (spoken and written)
  • Experience in project coordination, executive support, or operations is preferred.
  • Familiarity with Cisco or partner incentive programs is a bonus but not required.
