Sales Assistant Position

We are looking for a detail-oriented Sales Assistant to join our team in Honolulu, Hawaii. In this role, you will provide essential support to our Service Department, which specializes in maintaining and repairing commercial air conditioning systems. The ideal candidate will excel at managing multiple tasks, coordinating schedules, and ensuring smooth communication between technicians, customers, and suppliers. Preference will be given to applicants currently residing in Hawaii due to the nature of the job requirements.

Responsibilities:

  • Prepare detailed proposals for air conditioning repairs and replacements by gathering quotes from suppliers and subcontractors.
  • Coordinate approved repair jobs, including ordering equipment, maintaining records, and scheduling with technicians, customers, and subcontractors.
  • Dispatch trouble calls efficiently and create service tickets for responding technicians.
  • Manage equipment deliveries, notify relevant team members, and ensure proper documentation is submitted to the accounting department.
  • Schedule pick-ups using an iCloud calendar and maintain organization of driver schedules.
  • Communicate with customers and suppliers to resolve technical issues and provide repair histories.
  • Track equipment delivery dates and ensure smooth coordination between all parties involved.
  • Offer general administrative support to service technicians, including answering questions and liaising with manufacturers.
  • Perform other related duties as assigned to ensure the department's operational efficiency.

Requirements:

  • Proficiency in Microsoft Word, Outlook, and Excel, including the ability to create formulas and format data.
  • Solid understanding of basic math concepts, such as calculating markups and taxes.
  • At least two years of experience in the HVAC or construction industry is preferred.
  • Strong organizational skills with the ability to prioritize tasks and meet deadlines.
  • Exceptional attention to detail and accuracy in all work.
  • Ability to work well in a fast-paced environment with frequent interruptions.
  • Excellent interpersonal and communication skills for collaborating across teams and with external partners.
  • Self-motivated and capable of working independently with minimal supervision.
