What You Will Do
As a Senior Sales Support Specialist for National Accounts, you will serve as the primary liaison for day-to-day service operations with the New York State Agency and affiliated state entities. You'll ensure seamless coordination across departments, maintain compliance with contractual obligations, and deliver exceptional customer service.
How You Will Do It
Service Coordination & Account Management
- Manage and coordinate all service requests and work orders for NYS facilities
- Serve as the central point of contact for internal teams (operations, technical, finance) and external stakeholders
- Ensure timely dispatch and follow-up of service technicians and specialists
- Maintain accurate account records, service histories, and contact logs
Inspection Tracking & Compliance
- Monitor mandatory inspections for NYS facilities in alignment with contract milestones
- Maintain inspection calendars and issue reminders or escalation notices as needed
- Collaborate with facility managers to confirm inspection completion within required timeframes
- Prepare and submit compliance reports to sales leadership and agency representatives
Invoicing & Pricing Administration
- Generate and submit monthly invoices in accordance with contract terms
- Validate billed services against approved pricing and applicable discounts
- Resolve billing discrepancies and respond to customer inquiries
- Partner with Accounts Receivable to track payment status and support timely collections
Systems & Data Management
- Utilize MasterMind or equivalent CRM/service-ticket system to manage service events
- Develop Excel-based dashboards to track KPIs, revenue forecasts, and inspection status using advanced formulas, pivot tables, and macros
Customer Engagement & Communication
- Cultivate relationships with senior NYS executives, facility directors, and procurement officers
- Lead virtual and on-site meetings to review service performance and align on evolving requirements
Travel & On-Site Support
- Travel approximately 5–10% annually for site inspections, training sessions, and executive briefings
- Conduct facility walkthroughs and gather feedback to drive service enhancements
Collaboration & Continuous Improvement
- Identify service trends and operational bottlenecks; recommend process improvements
- Participate in cross-functional initiatives to elevate service delivery and customer satisfaction
Additional Responsibilities
- Stay informed on NYS regulations, procurement policies, and industry best practices
- Support annual contract renewals, pricing evaluations, and updates to statements of work
What We Look For
- Proven experience in service coordination, account management, or sales support
- Strong organizational and communication skills
- Proficiency in CRM systems and advanced Excel functions
- Ability to work cross-functionally and manage multiple priorities
- Familiarity with public sector contracts and compliance requirements preferred
HIRING SALARY RANGE: $64,400 - 80,500 (Salary to be determined by the education, experience, knowledge, skills, and abilities of the applicant, internal equity, and alignment with market data.)
