Job Description:
Essential Duties and Responsibilities:
Sales Support & Data Entry:
- Accurately enter and maintain client information, sales activities, and bookings in Copper (CRM system) to support the Director of Sales in tracking leads, opportunities, and pipelines.
- Input and update event details, contracts, and Banquet Event Orders (BEOs) in TripleSeat to ensure seamless communication with catering and operations teams.
- Assist in drafting proposals, contracts, and follow-up correspondence for group bookings and events, ensuring alignment with hotel standards and client needs.
- Monitor and report on sales leads, bookings, and conversions, providing regular updates to the Director of Sales.
Site Tours:
- Conduct professional and engaging site tours for prospective clients, showcasing guest rooms, meeting spaces, and amenities to highlight the hotel's unique offerings.
- Tailor tours to client needs (e.g., weddings, corporate meetings, SMERF events), addressing questions and concerns to build confidence in the hotel's capabilities.
- Document tour outcomes in "Copper" and follow up with clients to secure bookings or address additional requests.
Catering Coordination:
- Collaborate with the catering team to plan and execute menus, room setups, and event logistics for group bookings, ensuring client specifications are met.
- Create and distribute accurate Banquet Event Orders in TripleSeat, ensuring all departments (e.g., kitchen, setup crew) are aligned.
- Serve as a point of contact for catering-related inquiries, ensuring timely responses and high customer satisfaction.
SMERF Business Development:
- Identify and pursue SMERF opportunities (e.g., local community events, religious retreats, educational conferences) through research, outreach, and networking.
- Coordinate one-off SMERF bookings, including contract negotiations, room block management, and event execution, ensuring profitability and guest satisfaction.
- Foster relationships with SMERF organizers to encourage repeat business and referrals.
Administrative Support:
- Schedule meetings, site tours, and follow-ups for the Director of Sales.
- Compile sales reports, including booking pace, revenue forecasts, and event performance, using data from Copper and TripleSeat.
- Maintain organized digital and physical records of contracts, proposals, and client communications.
Collaboration & Communication:
- Work with catering, housekeeping, and front desk teams to ensure smooth execution of bookings and events.
- Act as a secondary point of contact for clients, addressing inquiries and escalating issues to the Director of Sales as needed.
- Assist the sales team during peak periods, including trade shows, sales blitzes, or promotional events.
Education, Skills and Abilities:
- Experience: 1-2 + years of experience in a hotel or event venue, particularly in group sales or catering.
- Sales Skills: Proven ability to build relationships and deliver exceptional client experience.
- Communication: Effective verbal and written communication skills. Ability to speak professionally, confidently, and persuasively.
- Tech-Savvy: Basic proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Products CRMs experience preferred but not required.
- Detail-Oriented & Organized: Ability to multitask, manage time effectively, and maintain accurate records.
- Team Player: Collaborative mindset with the ability to work effectively with cross-functional teams.
- Self-Motivated & Driven: Proactive, self-motivated, negotiation and problem-solving abilities.
- Growth Mindset: Willingness to learn new systems, embrace feedback, and adapt to industry trends.
Physical Requirements:
- Ability to sit, stand, and walk for extended periods of time.
- Frequent use of hands for typing, writing, and handling office equipment.
- Occasionally lifting items up to 20lbs.
- Ability to travel for sales, calls, client meetings, and industry events as needed.
- Comfortable working in both office and on-site hotel environments.
