Job Description

Please note that this is not an exhaustive list of everything that needs to be done. NH Maldives Kuda Rah employees always find new ways to look after the business, their guests, and their colleagues. Within this, the key responsibilities for this position are:

  • Assist Director of Sales and Sales Manager with daily administrative tasks, including preparing proposals, contracts, rate agreements, and reports.
  • Update and manage client databases, CRM entries, partner profiles, sales records, and the tour operator/travel agent database.
  • Prepare sales presentations, collateral materials, and meeting documents.
  • Handle incoming inquiries (email, phone, website) and respond or route them appropriately.
  • Ensure timely processing of contracts, amendments, and confirmations.
  • Handle communication with tour operators, travel agents, and DMCs, providing accurate information on rates, promotions, packages, availability, and resort offerings.
  • Provide clients with requested information on rates, availability, property details, and packages.
  • Assist in organizing and coordinating site inspections, FAM trips, media visits, and VIP arrangements to showcase the resort as needed.
  • Provide partners with updated marketing materials, fact sheets, images, and promotional content.
  • Issue last-minute availability alerts, updates, and communications as requested by the Sales Team.
  • Support the processing of group and leisure bookings, ensuring details are communicated to reservations and operations teams.
  • Liaise with reservations, front office, revenue, and operations teams to ensure smooth execution of bookings.
  • Manage and maintain accurate administrative tasks for the department, such as organizing filing systems for bookings, contracts, correspondence, and sales documents.
  • Support market and competitor research to help identify trends and promotional opportunities.
  • Assist in monitoring competitor rates and offers.
  • Provide the sales team with updated insights from partners' feedback and market performance.
  • Prepare daily, weekly, and monthly sales reports, including production summaries and performance tracking.
  • Ensure sales kits, brochures, and digital assets are up to date and available.
  • Ensure clear communication of special requests, VIP information, and sales commitments.
  • Attend sales meetings and maintain organized filing systems.

Qualifications

  • Diploma or bachelor's degree in hospitality management, Business Administration, Tourism, Marketing, or a related field.
  • 1–2 years of experience in hotel sales, reservations, front office, guest services, or administrative roles.
  • Strong understanding of hotel operations and familiarity with sales processes.
  • Experience with PMS systems, preferably Opera.
  • Proficiency in MS Office applications (Word, Excel, PowerPoint).
  • Excellent written and verbal communication skills in English.
  • Strong communication and interpersonal skills, with a professional and customer-focused mindset.
  • Ability to prepare accurate reports, rate sheets, proposals, and other sales documents.
  • Ability to handle multiple tasks, prioritize, and work under pressure.
  • High attention to detail with strong organizational and multitasking abilities.
  • Willingness to be based on a remote island resort and adapt to resort living.
  • Trackable references to support the role applied for.
