Office & Sales Coordinator

We're seeking a highly organized, motivated, and personable Office & Sales Coordinator who can seamlessly handle day-to-day office operations while also contributing to sales and marketing initiatives. This is a multifaceted role perfect for someone who enjoys a blend of administrative work and customer engagement.
As our Office & Sales Coordinator, you will serve as the backbone of daily operations, ensuring our office runs smoothly, customers are well-supported, and sales/marketing efforts are consistently executed. You'll balance customer communications, scheduling, account management, and field marketing coordination, while also driving new business through sales outreach, events, and canvassing.
Key responsibilities include:
- Monitor and respond to customer emails, text messages, and call logs.
- Prioritize and resolve customer issues; coordinate with technicians as needed.
- Monitor daily and weekly weather forecasts to adjust service schedules.
- Route and adjust daily and weekly work schedules for field technicians.
- Manage inventory, order supplies, and ensure materials are stocked.
- Track and log technician hours and services completed for payroll.
- Run and manage aging reports, follow up on unpaid accounts, and send payment reminders.
- Prepare and send 'Before Service' texts and customer communications.
- Assist in monthly and annual business planning and action item tracking.
- Research and identify local businesses, commercial clients, and community events for marketing and partnership opportunities.
- Cold-call and follow up with prospective commercial clients to generate leads and schedule appointments.
- Represent Mosquito Hunters at local events, expos, and networking opportunities.
- Create and manage social media content and schedules.
- Coordinate and implement email marketing campaigns.
- Design and distribute flyers, pamphlets, and promotional materials.
- Measure, track, and report on marketing campaign performance.
- Collaborate on referral and guerrilla marketing initiatives.
- Visit local neighborhoods, commercial properties, and businesses to promote Mosquito Hunters' services directly to potential customers.
- Distribute marketing materials, introduce services, and engage with property owners, managers, and business operators.
- Collect contact information for follow-up and set appointments for service consultations.
- Act as a brand ambassador while canvassing, representing the company professionally and enthusiastically.
- Identify and report on potential commercial partnership opportunities within the community.
Qualifications:
- Organized, detail-oriented, and capable of managing multiple priorities independently.
- Strong communication and interpersonal skills; customer service mindset.
- Experience in administrative work, scheduling, and office coordination preferred.
- Familiarity with social media platforms, email marketing, and digital marketing tools.
- Comfortable with cold-calling, networking, canvassing, and in-person sales outreach.
- Proficiency in Microsoft Office, Google Workspace, and other office tools.
- Creative, self-motivated, and entrepreneurial spirit to contribute to business growth.
- Sales experience a strong plus.
Compensation & Perks:
- Pay: $15 - $20 per hour (depending on experience)
- Sales Commission: 10% commission on total annual revenue from new customers or upsells
