Sales Support Specialist

The Sales Support Specialist is an integral part of the customer service team, reporting directly to the Customer Service Manager. This role involves interacting with various stakeholders including Senior Sales Coordinators, Regional Sales Managers, Brokers, and Customers to provide technical information, product application, administrative support, and customer order follow-up. The primary focus of this position is to ensure customer satisfaction, requiring initiative and adaptability as customer requirements evolve.

Responsibilities

Represent internal processes such as sample requests, order entry, production, shipping, and billing accurately and professionally.

Receive and process customer orders via fax, electronic data interchange (EDI), mail, or email.

Ensure all orders meet the required minimums for prepaid freight, correct pricing, and any additional necessary charges.

Confirm orders using the method required by the customer, such as EDI, email, or fax.

Expedite orders through the Supply Chain Manager as needed.

Follow up promptly on back orders and communicate effectively with all affected parties.

Maintain daily filing of customer invoices.

Enter quality assurance complaints and support the Accounts Receivable Deduction Analyst with repayment of deductions.

Ensure all sales-related deductions are addressed in a timely manner.

Process sample requests promptly and follow up as necessary.

Serve as backup for the Senior Sales Support Coordinator when required.

Assist in hosting Sales Representatives or Customer visits to the plant.

Coordinate new item setup, including artwork coordination for custom printed items.

Provide forecast information to the Supply Chain for new business.

Essential Skills

Proficient in customer service and account management.

Strong administrative support skills.

Experience in client-facing roles and providing support via email, phone, and in-person.

Data entry and order processing proficiency.

Minimum two years of related inside customer service experience.

Additional Skills & Qualifications

Knowledge of company systems and applications.

Ability to work collaboratively within a team.

Strong judgment and the ability to read and follow instructions, policies, and practices.

Excellent clerical and administrative skills with high attention to detail and follow-up.

Ability to build strong relationships over the telephone.

Work Environment

The role requires in-office presence five days per week, from 8 am to 5 pm. This is an opportunity to join a global manufacturing company with significant growth opportunities from within.

Job Type & Location

This is a Contract to Hire position based out of Westfield, MA.

Pay and Benefits

The pay range for this position is $23.00 - $25.00/hr. Eligibility requirements apply to some benefits and may depend on your job classification and length of employment.
