Basic Function

This role provides support to Phillips 66 specialty coke product managers and customers for account administration issues, liaising closely with internal and external groups in the UK, USA, India and China to ensure a comprehensive service.

Primary Accountabilities/Responsibilities:

  • Work closely and pro-actively with specialty coke product managers, refinery personnel and back-office functions to manage the day to day operation of customer accounts. Deal promptly with internal and external customer queries.
  • Take ownership for the accuracy of customer data in SAP, arranging for customer data to be added, updated & renewed.
  • Undertake a range of regular administrative tasks, to include transactional activities and administration of product movements to customers/other Phillips 66 locations.
  • Ensure the invoicing process is completed in a timely manner and the raising of correction credits/debits process is adhered to.
  • Liaise with Legal, Tax, Treasury, Compliance, Contract Management groups and specialty coke product managers to maintain up-to-date templates of sales/purchase agreements. Inform specialty coke product managers when template revisions are finalized so that latest versions are uploaded to SAP.
  • Be responsible for the preparation of sales/purchase agreements in-line with specialty coke product managers instructions, delivering agreements in a timely manner that are ready for signing.
  • Maintain a strong control environment in accordance with Phillips 66 Process and Controls Standards by:
    • Liaising with Business Compliance groups, coke product managers and customers to ensure 'know your customer' checks are complete prior to sales/purchase agreements being executed. Liaising with Treasury groups and coke product managers to manage Phillips 66 Limited's exposure to customer payment defaults. Inform coke product managers of Treasury group decisions re customer credit limits and of any additional financial security measures to be included in sales/purchase agreements as appropriate.
    • Tracking the expiry of any financial security measures in good time for new measures to be agreed by Treasury, specialty coke product managers and customers, and for these to be implemented.
    • Liaising with Treasury to monitor current and forecast future credit exposure in light of each customer's delivery schedule and product prices. Inform coke product managers and refinery logistics personnel if credit limits are forecast to be exceeded. Monitoring the payment of invoices and chasing customers whose payments fall overdue.
    • Monitoring the return of signed agreements from counterparties and chasing any outstanding that are not returned in a timely manner.
    • Being the designated person within Global Specialty Coke Group – London with overall responsibility for managing company records. Work with Records Management groups in the US to ensure compliance with latest standards.
  • Maintain an accurate record of actual specialty coke sales for inclusion within sales outlooks and business performance reports to Phillips 66 management and others.
  • Prepare routine and ad hoc reports and data with a particular emphasis on business performance variance analysis, accurate tracking of contractual obligations and credit exposure, actively looking for opportunities to improve on efficiency and results.

  • Continuous improvement mind-set regarding processes and admin tasks.

Phillips 66 has significant marketing operations in Europe. In the UK the business is primarily wholesale, selling fuels to distributors (some of whom are branded JET) and resellers. The fuels are either collected by customers or delivered through a contracted road tanker fleet operating out of a number of UK distribution points. In addition, Phillips 66 Limited supplies a network of approximately 330 independently owned petrol forecourts, all of which are branded JET.

Other markets served are aviation, marine and LPG. JET supplies some of the UK's growing secondary airports using owned and shared refuelling tankers and storage, and delivers to airlines through contracted refuelling operations. Marine markets are served using contracted vehicles, as is the LPG business.
