Event Sales Coordinator

The Event Sales Coordinator is a key player in driving the success and growth of Puttery's event sales by managing event bookings, cultivating new business opportunities, and coordinating seamless events. This role requires a highly motivated and organized individual to prospect for new social event opportunities, convert leads into successful bookings, and support the sales leadership team with administrative tasks. The Event Sales Coordinator will also be integral in enhancing the guest experience and maximizing revenue through strategic upselling and exceptional client service.

Key Responsibilities:

  • Develop and create event packets, promotional materials, and other sales collateral to support the event sales team.
  • Manage the full event lifecycle, from prospecting and booking to coordinating event details with the venue's operations teams.
  • Process banquet event orders (BEOs) and handle financial transactions in Tripleseat, ensuring all details are accurately communicated and tracked.
  • Perform administrative tasks such as entering and processing sales orders, responding to client inquiries, and maintaining relationships with clients to ensure repeat business.
  • Proactively follow up on BEO changes and ensure all updates are effectively communicated to the sales team and operations staff.
  • Prepare materials for BEO meetings, ensuring a seamless flow of information and an exceptional client experience.
  • Track and distribute final payment reminders to clients in a timely and professional manner.
  • Identify opportunities for process improvements and recommend enhancements to elevate the team's efficiency and performance.
  • Drive business growth by proactively prospecting and securing new social event opportunities.
  • Partner with the Director of Sales and other operational leaders to continuously improve guest satisfaction and overall profitability.
  • Maintain a deep understanding of Puttery's event packages, upsell opportunities, and additional services to maximize revenue.
  • Provide outstanding customer service by building lasting relationships with clients and ensuring their events exceed expectations.
  • Represent Puttery at local networking events, trade shows, and expos, cultivating new leads and partnerships to generate business.
  • Coordinate staffing needs with the Event Manager to ensure smooth event execution.
  • Attend to other duties as requested by management to support business operations.
  • Adhere to safety protocols and immediately report hazards to supervisors.

Qualifications:

  • High School Diploma required, bachelor's degree in hospitality management, Marketing, or a related field preferred but not required.
  • A minimum of two (2) years of experience in administrative or sales support roles; event sales experience preferred.
  • Previous experience in food and beverage, hospitality, or event coordination is a plus.
  • Strong customer service skills with the ability to build and maintain relationships with clients.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with event management software (e.g., Tripleseat, POS systems).
  • Goal-oriented and high-energy individual with a passion for group sales and event planning.
  • Excellent time management, organizational, and communication skills.
  • Ability to work effectively in a fast-paced, high-energy environment, managing multiple priorities simultaneously.
  • Must be able to work evenings and weekends as required to support events.

Working Conditions:

  • This is a full-time position.
  • The role demands flexibility in working hours, including evenings and weekends, to accommodate client meetings and events.
  • Must possess the ability to maintain composure and professionalism under pressure, demonstrating effective problem-solving and decision-making.
  • Occasional physical activity may be required, depending on event needs and on-site responsibilities.
