The Sales Event Coordinator is responsible for providing administrative and operational support to the sales team to ensure smooth execution of sales activities, efficient customer interactions, and achievement of revenue goals. This role also plays a key part in planning and coordinating customer-facing events, training programs, and trade show logistics. The ideal candidate is highly organized, detail-oriented, and comfortable balancing multiple responsibilities across sales, marketing, and operations.

Key Responsibilities

Event & Logistics Coordination

  • Coordinate trade show logistics, including booth setup, shipping, vendors, and on-site support.
  • Plan and coordinate customer events such as launch events, user groups, and product showcases.
  • Coordinate scheduling of customer meetings, product demonstrations, and scientific events.
  • Manage demo truck scheduling and logistics across different regions.
  • Coordinate customer training travel (venues, hotels, flights, and schedules).

Sales & Customer Engagement Support

  • Manage sponsorship and speaker agreements, including contracts and commitments.
  • Facilitate speaker and vendor payments.
  • Assist event collateral, and follow-up communications.

Administration

  • Maintain DX Distribution Lists
  • Create purchase orders for all DX departments, perform and resolve GR/IR tasks and issues, invoice requests, payment tracking and set up vendors. Ensure payments are made on a timely basis.
  • Logistics (Hotel, rooms, AV, food, dinners) for internal training, regional sales meetings, annual sales kickoff, and others
  • Submission of SpoDoM and CAP approval requests for tradeshows, events and speakers

Qualifications

  • Post-secondary education in Marketing, Communications, Business, or Event Management.
  • 5-7 years of experience in event coordination, marketing support, or customer engagement roles.
  • Strong organizational and project management skills with attention to detail.
  • Excellent communication and interpersonal skills; bilingual (English/French) is mandatory.
  • Ability to manage multiple priorities and deliver high-quality results within deadlines.
