Sales Administrative Assistant

Under minimal supervision, the Sales Administrative Assistant supports business needs for the Sales team. Creates and develops sales materials; maintains and generates reports. The nature of this position may require frequent overtime and may require occasional travel.

Responsibilities

Coordinate and maintain multiple schedules and timelines for sales projects.

Enhance the value of the sales product through self-initiated creativity, developmental and technical skills.

Plan, organize and develop sales presentation materials that will impact potential multi-million dollar customers.

Provide recommendations on how to present created product so the intended message gets across with the desired effect.

Maintain and update presentation materials as needed.

Respond to RFP's (request for proposals) with little oversight from the sales team.

Gather information and coordinate with finance, logistics and distribution centers to ensure timely, accurate and professional completion.

Assist the Sales team with planning special projects, events, meetings, conventions, etc. and ensure correspondence, information packets, and event registration is arranged and completed.

Plan, coordinate and prepare trade show activities, including trade show equipment, merchandise, signage, and registration.

Assist sales team with implementing and executing new customer introductions, DC (distribution center) tours, and quarterly business review proposals as needed.

Support the sales team with administrative assistance.

May make travel arrangements.

With little direction, create spreadsheets.

Create, maintain, update and run reports on a regular or ad hoc basis.

Maintain and create new graphics for presentation materials, conventions and distribution centers.

Maintain files.

Qualifications

Education

High School diploma required

Associate or bachelor's degree strongly desired and preferred

Experience

4 years of executive administrative and office services experience, preferably in a sales environment

Quantitative analysis or financial background preferred

Professional Skills

Strong ability to prioritize and to work without direction

Maintain a high degree of professionalism

High level of proficiency with Microsoft Office products, Publisher and PowerPoint

Strong Excel skills including pivot tables and v lookups

Strong internet research skills

Exceptional graphic skills

Well-developed interpersonal, oral and written communication skills

Ability to work well with internal customers as well as external customer and potential customers

Strong problem-solving skills as well as the ability to make good judgments

Physical Demands

Work is sedentary

Mental/Visual Demands:

Must be able to read at a distance close to the eyes, with or without correction
