Sales Support Specialist

We are looking for a detail-oriented and proactive Sales Support specialist to join our team in Gardena, California. In this long-term contract role, you will play a key part in ensuring smooth sales operations by managing order processing via QuickBooks, providing administrative support, and assisting the sales team. This position is ideal for someone who thrives in a fast-paced environment and enjoys contributing to the success of a dynamic sales-driven team.

Responsibilities:

  • Accurately input and manage sales orders within company systems, ensuring all details are correct.
  • Process purchase orders, generate quotes, and oversee shipping documentation to support timely deliveries.
  • Collaborate with operations and logistics teams to address customer inquiries and ensure efficient order fulfillment.
  • Maintain regular communication with clients, providing updates on order statuses and preparing weekly status reports.
  • Set up and manage customer portals while verifying order details, pricing, and inventory availability.
  • Reconcile purchase orders with sales orders to confirm accuracy and resolve discrepancies.
  • Coordinate the calendar and travel arrangements for senior sales leadership, ensuring efficient scheduling.
  • Assist with creating presentations, reports, and client-facing documents to support sales activities.
  • Handle customer requests for insurance documentation and coordinate special projects such as gift orders.
  • Support the onboarding process for new sales team members by preparing tools and documentation.

Requirements:

  • Minimum of 2-3 years of experience in a sales support or administrative role.
  • Strong proficiency with sales systems, QuickBooks, and Microsoft Office Suite.
  • Exceptional attention to detail and organizational abilities, with the capacity to handle multiple priorities.
  • Excellent written and verbal communication skills to interact effectively with clients and team members.
  • Experience working with senior executives is preferred, and familiarity with the hotel industry is a plus.
  • Ability to work in a fast-paced environment while meeting deadlines and maintaining accuracy.
  • Knowledge of post-sales, inbound, and outbound sales processes is highly desirable.
