Executive Sales Assistant

As an Executive Sales Assistant, you'll play a crucial role in supporting our sales executives, streamlining operations, managing communications, and helping close deals faster. Join a dynamic and collaborative team where your skills directly contribute to growth and success!

Key Responsibilities:

Calendar & Communication Management

  • Coordinate schedules and alert the executive of meetings, events, follow-ups, and deadlines.
  • Manage emails, texts, and LinkedIn communications to ensure timely follow-ups with clients and prospects.

Sales Support & Reporting

  • Assist with preparation of sales reports, proposals, contracts, and presentations.
  • Track and manage numbers, metrics, and data across sheets and apps with precision.
  • Maintain accurate records of KPIs and pipeline performance.

Lead & Client Management

  • Follow up consistently with leads and prospects via phone, email, text, or LinkedIn.
  • Organize and update client info and interactions in the CRM system.

Accountability & Coordination

  • Keep the executive accountable by providing regular alerts and reminders about upcoming responsibilities.
  • Coordinate remotely with clients for virtual meetings, document requests, and timely follow-ups.

Documentation & Admin

  • Maintain organized records of all sales activities and client communications.
  • Support daily operations and provide general admin support to the sales team.

Content Generation Using Chatbot

  • Use Chatbot effectively to draft professional written content (emails, follow-ups, reports—not graphic design).

Qualifications & Requirements:

  • Experience: 2-3 years as a Sales Assistant, Executive Assistant, or in a similar administrative support role.
  • Tech Savvy: Proficient in CRM tools (like Salesforce or HubSpot), spreadsheets, MS Office, GSuite, and Chatbot.
  • Strong Communicator: Excellent verbal and written English skills with a professional tone.
  • Highly Organized & Detail-Oriented: Able to manage multiple priorities and maintain accuracy in tracking data and follow-ups.
  • Team Player with Initiative: Proactive, reliable, and able to anticipate needs before they arise.
  • Work Schedule: Must be available to work the graveyard shift (11:30 PM – 8:30 AM Philippine Time).
  • Education: Bachelor's Degree

Tech Requirements:

  • PC/Laptop: Minimum 8GB RAM, Intel Core i3 (or equivalent), Windows 10 (Primary & backup equipment required).
  • Internet Connection: Stable LAN or Fiber connection with a reliable backup (Pocket WiFi or Mobile Hotspot).
